Inventory Reporting
Inventory Reporting tracks performance through whole herd reporting rather than on an individual basis, allowing you to better track herd performance, increase EPD accuracy, and communicate value to your customers.
Whole Herd Reporting
How is this different from what I do now?
Rather than reporting only calves you plan to register - collect and submit data on all females regardless of registration status of calf.
Better characterize individual and herd productivity. Ensure donor cows and females producing quality commercial calves also get credit for their work.
There is a $2 per female charge to enroll in the program. This fee waives the traditional $3 per weight charge through AHIR®.
What is required?
Getting started is simple. Enroll through your AAA Login during the appropriate enrollment periods:
- Spring Calving Herds: Nov. 1 – Jan. 15
- Fall Calving Herds: May 1 – July 15
As part of the initial enrollment process, you’ll be asked to clean up your herd inventory by marking females active or inactive. Inactive females will be cancelled from the herd.
Over the next year, complete the program requirements by reporting one of the following for each female in your registered herd:
- A calf (birth date, sex, dam)
- A reason code for why she didn’t have a calf to report
- A disposal code and date for the cow

- Heifer breeding data
- Weaning weights or calf disposal codes
Inventory Reporting FAQs
The annual enrollment fee is $2 per female. Any calves born to an enrolled female can be submitted to the Association for free, which waives the typical $3 per weight AHIR® fee.
There are two enrollment periods during which a herd can be enrolled:
- Spring Calving Herds: Nov. 1 – Jan. 15
- Fall Calving Herds: May 1 – July 15
If a herd calves in spring and fall, choose the enrollment period that best suits the majority of the herd.
Yes, participating herds will be required to re-enroll each year during their enrollment period. This ensures that each female on inventory has a record for the year and keeps the herd inventory current for the upcoming year.
If you miss the re-enrollment deadline, you will be un-enrolled from the program. If you want to re-enroll in the program, you will need to enroll at the next appropriate enrollment period.
Yes! Enrolling the donor dam in this program ensures she gets accounted for. Donor dams need to remain active on inventory as long as she is in the herd.
Providing a reason code for a donor dam is critically important for traits like functional longevity. She can be better accounted for in the trait by having that information provided.
Recipient females can also be included on the enrollment at $2/female to waive the traditional $3 weight fee for her ET calf.
Females that are multi-owned need to remain “active” in all owners' inventory until they are no longer producing calves.
When reporting calf information, owner(s) who do not have possession of the female will list the “Reason No Calf” code as “Multi-Owned, No Possession”. The owner who has possession of the cow will report the current calf.
You will need to contact the Association to reinstate the cow. Once reinstated, the female will show up in your lists.
You will be charged $3 when a weight is submitted on the calf from the reinstated dam.
Yes, production records on any female you have owned are available by navigating AAA Login to My Herd > Animal Lists > Cancelled Animals.
